How it works

1Capture

Photograph the paper sign-in sheet, hand attendees a tablet that suggests their name as they type, or upload a CSV. Multi-page sheets and offline capture are handled.

2Review

Each attendee is matched against the NPPES registry. Clear matches are ready. Ambiguous names, deactivated NPIs, out-of-state practices and weak handwriting reads are flagged with the reason, so a rep confirms in seconds instead of re-typing.

3Export

Download the attendee import file written into your organization's own Concur template, every tab and hidden field intact, and import it into the expense report the way you already do.

If the Attendees section of an expense has no Import button, your Concur configuration admin enables it in a few minutes by generating and uploading an attendee import template. We can send the exact steps.

Capacity value, not cash: the hours go back to selling. Defaults assume five hours a month per rep on attendee research and Concur entry (a common field estimate) and a $75 loaded hour. Change either. A pilot replaces these assumptions with your measured numbers.

Questions people ask

Does NPIsign connect to our Concur account?

No. It produces the attendee import file and nothing touches your Concur instance. No API access, no App Center app, no admin grant beyond the built-in import feature.

Where does the attendee data come from?

From the names on your sign-in sheet, matched against the public NPPES registry maintained by CMS, the same source Concur's own lookup uses. NPI, specialty, state license number and practice address come from that registry. Nothing is bought from a data broker. Registry data can be stale, which is why uncertain rows are flagged rather than guessed.

Can we use our own attendee types, like business guest, HCO or spouse?

Yes. Your Concur template's attendee-type list becomes the list in NPIsign, so every row gets one of your own codes. Matched providers default to your HCP type; you can change any row in Review, and the type goes into the export exactly as Concur expects.

What about no-shows, office staff and other non-HCPs?

Add a no-show or a guest by hand, mark them "not a healthcare provider" and pick the type. They go on the file with that type and no NPI. A name from the sheet that has no registry match can be kept the same way instead of excluded. If you want a dedicated no-show type, add it to your Concur attendee list and regenerate the template; it flows through.

Can we get the attendee history back out later, for example who attended meals with the sales force?

Yes. Setup has a one-click download of every attendee across every event you can see: event, date, account, rep, name, NPI, specialty, attendee type and status, as a CSV. Known providers are also listed per organization with how often they have been seen, and the audit trail records every change. Download it on a schedule and keep it with your own records.

Can we use our own sign-in sheet instead of yours?

Usually, yes. The photo reader transcribes any tabular sheet with a printed name and a signature, in any column order. Send us a couple of your real sheets and we tune the reading to your layout. The one thing it cannot do is read a name that only appears as a cursive signature.

Is there any patient information involved?

None. NPIsign holds healthcare-professional attendee information only, and the Terms prohibit uploading patient data.

Who keeps the records for audits?

You do. NPIsign is a working tool, not a system of record. Download every export and the original sheet images into your own records system for as long as your policies and the Open Payments rules require. The app also keeps an audit trail of changes while your account is active.

How accurate is the handwriting reading?

Good enough to save the typing, not good enough to skip the review. Every row read from a photo carries a confidence flag, and the review step exists so a person confirms the flagged ones before export.

What does it cost?

The Individual plan is $15 per month for one person: up to 10 events a month on up to two devices, no invites. Team plans are per seat per month, billed annually: $15 for 2 to 25 seats, $12 for 26 to 500, $10 for 501 to 2,000, $8 above that. No event or device limits, and a free 30-day pilot for up to 10 people. Ask for a quote with your seat count.

Why does the Individual plan have limits?

Because a seat is a person. Open Payments records and the audit trail depend on knowing who hosted each event, so one login used by a whole team would make the records wrong for your compliance team, not just for us. The limits are generous for one rep and the moment they pinch, a team plan gives everyone their own login.
